ScanFly Platform Terms
ScanFly Platform Terms of Use
Effective date: 1 November 2026
Version: 1.0
1. About ScanFly
ScanFly LLC (“ScanFly,” “we,” or “us”) provides the software that powers participating online stores.
In these terms, “Shop Operator” means the organization responsible for operating the store you access. “Program Sponsor” means your employer or other organization responsible for any purchasing program you use. These may be different organizations.
These terms form an agreement between you and ScanFly governing your use of the platform. By selecting “I agree” when these terms are presented, you agree to them.
The Shop Operator’s separate policies govern products, order acceptance, fulfillment, delivery, cancellations, returns, and refunds. Any purchasing program rules govern eligibility, allowances, and permitted purchases. These platform terms do not replace those policies or rules.
2. Your account and access
Use only an account assigned or authorized for you. Provide accurate information, protect your password and verification codes, and sign out on shared devices. Do not share accounts, impersonate another person, or attempt to access another person’s information.
Report suspected unauthorized access promptly through the support contact provided in the store.
ScanFly may restrict or suspend access when reasonably necessary to investigate misuse, protect information, maintain platform security, or comply with law. Access may also end when the organization authorizing your account withdraws that authorization or determines that you are no longer eligible to participate.
Losing access does not, by itself, cancel an existing order or eliminate applicable return or refund rights. For assistance with an existing order after losing access, use the support information provided with your order.
3. Employee allowances and eligibility
If a store offers an employee purchasing program, your Program Sponsor determines eligibility, allowance amounts, permitted purchases, expiration dates, and other program rules. ScanFly displays and administers those settings but does not independently grant employee benefits or fund allowances.
An employer-provided allowance is authorization to make eligible purchases under the program. It is not money held by ScanFly for you and cannot be withdrawn or transferred through ScanFly. These restrictions apply to employer-provided allowances and do not determine your rights concerning personal payments or refunds.
Consult your Program Sponsor’s rules for purchasing restrictions, expiration dates, and allowance restoration practices. Direct questions about eligibility, balances, expiration, or adjustments to your Program Sponsor.
An incorrect displayed balance or other system error does not create an entitlement to additional benefits. Corrections must follow applicable law and the program’s rules.
4. Orders and personal payments
Review your selections, sizes, delivery information, allowance application, and any personal payment amount before submitting an order.
If an order requires personal payment, you authorize the payment transaction described at checkout when you submit the order. Payments are processed through the payment provider used for that store.
ScanFly’s provision of checkout software does not make ScanFly the seller of the products. Product purchases are subject to the Shop Operator’s policies presented in connection with your order.
An order acknowledgment confirms receipt of your submission; it does not guarantee product availability or acceptance. Payment timing and order acceptance are governed by the information provided at checkout and the Shop Operator’s policies.
Order changes, cancellations, payment issues, returns, refunds, and restoration of allowances are handled under the Shop Operator’s policies, applicable program rules, and applicable law. For orders paid partly with an allowance and partly with personal funds, consult those policies for how each portion is handled.
5. Information used to operate the platform
Depending on the store’s configuration, the platform processes information such as your name, employee identifier, department, contact details, delivery address, allowance activity, orders, and technical or security records.
Authorized Shop Operator and Program Sponsor personnel may access information relevant to their responsibilities, including order and allowance reports. Depending on the store’s configuration, those reports may include purchases paid for partly or entirely with personal funds.
ScanFly and its service providers process information as needed to operate, support, secure, and maintain the platform.
ScanFly’s Privacy Notice explains its information practices and how to submit privacy questions or requests. Additional privacy notices provided by the Shop Operator or Program Sponsor may apply to their handling of your information.
Do not enter Social Security numbers, medical information, passwords, verification codes, or payment card details into general text fields or support messages. Enter payment information only in designated payment fields.
6. Acceptable use
Do not use the platform for fraud, unlawful activity, harassment, introducing malicious software, bypassing purchasing restrictions, exploiting errors, or interfering with the service.
Do not attempt to access accounts, systems, or information you are not authorized to access.
If you discover an error affecting prices, allowances, payments, or account access, report it through the store’s support contact. Do not attempt to exploit the error.
7. Service availability and responsibility
ScanFly uses reasonable care to operate the platform, but interruptions, maintenance, third-party outages, and errors may occur. ScanFly does not guarantee uninterrupted or error-free access.
ScanFly is responsible for the platform services it provides. The Shop Operator is responsible for its products, order handling, and fulfillment obligations. The Program Sponsor is responsible for eligibility, allowance rules, and other purchasing program decisions.
These terms do not exclude liability or limit rights that cannot lawfully be excluded or limited.
8. Updates and assistance
ScanFly may update these terms prospectively. Each version will show its effective date.
We will notify you of material changes through the platform or another available contact method before they take effect. When material changes apply to your continued use of the platform, we will present the revised terms for acceptance.
Updated terms do not retroactively change completed purchases or override applicable law. The current terms are available through the platform.
For products, delivery, cancellations, returns, refunds, or order changes, contact the Shop Operator using the support information provided in the store or with your order. For employee eligibility, allowances, or program rules, contact your Program Sponsor. For account access, technical problems, or security concerns, use the support contact provided in the store. For privacy questions or requests, use the contact information in the applicable privacy notice.
